The best thing about convention!

Yes, this post is about volunteering.  How is that the best thing about convention?  Because it’s all about you (and me and everyone else that comes to the convention).  We are the reason there is a convention – we are HOMESCHOOLERS! Say it loud, say it proud!  We don’t just think outside of the box, we take a field trip to find out how the box was made, measure it to find the volume so we know what can fit inside of it and then we use that box and a few of it’s friends to make a tunnel water park in the backyard.

You think you can’t volunteer because you had a bad knee, hip, ankle, back or crocked pinky toe? That’s not a problem – we will find you a place.  If you need to sit, we can find you a sitting job (try registration), if you need to stand HEAV has that covered too (UCS, Hospitality, Silent Auction), love to talk (HEAV tables).

Think you can’t volunteer because the kids are with you?  Bring ’em on! (at least to most places) Hello, this is a homeschool convention – HEAV expects there to be kids around.  Granted not all of the jobs are able to allow kids to help, but there are quite a few that do!

Have you signed up to volunteer at the HEAV convention yet? After all of my exciting and encouraging words?  OK fine – here are more details.  Come on, you know you want to – Not only do you get the thrill of knowing that you are helping a great group like HEAV, but by volunteering for at least two hours you also get a golden ticket to get into the UCS before it opens to everyone else!  Whether or not you are registered for convention yet, you can sign up to volunteer online just visit the Volunteer Sign Up Form.

Here is a bit more about the jobs (with my comments about the benefits).

USED CURRICULUM SALE: We need more Pre-Cashiers for Friday and Saturday. This is the first year this coveted position has been advertised because it usually fills with return volunteers because, apparently, it is a lot of fun for the older teens. Must be age 15 or older.

Volunteering for the UCS allows you to see lots of the cool stuff before it even goes on sale, plus if you help with setup, you can eat chocolate for dinner and not have to exercise after.

REGISTRATION: Needs On-Site Registration volunteers for Thursday and Friday, and Pre-Registration Check-In volunteers for Friday. On-Site Registration volunteers must be adults because they will handle money. Also, no children allowed to volunteer alongside On-Site Registration. Well-behaved children are welcome at Pre-Registration Check-In.

Volunteering at Registration means that you will be one of the first faces people see when they come to the Convention. You get to make new friend and see adorable babies! Plus you are right in the heart of the action in the lobby!

SILENT AUCTION: Here is an opportunity to be involved with an exciting, fast-paced, new aspect of the HEAV convention, right in the middle of the excitement of the Exhibit Hall! Help with setup and you may get to hang in the exhibit hall before it even opens, or if you prefer a sitting job, you can check in items that are being dropped off on Thursday. Do you have small children with you?  GREAT – kids have lots of energy – I’ll put them to work too!

Volunteering at the Silent Auction means that you can keep your eye on those items that you really want (plus you can work with me!!) Statistically volunteers get all fo the best items at the best prices. (OK, I made that one up, it's our first year, we have no statistics on it yet!)

HOSPITALITY ROOM: Needs Friday and Saturday volunteers. Volunteers have the opportunity to help the speakers have a little rest and refueling before they return to the Exhibit Hall or workshops.

Volunteering for the Hospitality Suite means that you get to see the vendors and speakers in a more relaxed setting and that you get to give back to those who do so much for others.

HEAV TABLES: Needs volunteers all three days. Here is a great opportunity to share your enthusiasm for homeschooling with someone who is just thinking about it or who is confused about their rights. Experienced homeschoolers only. Yet another great place for dads to serve to give the “principal’s” perspective on the homeschooling lifestyle.

Volunteering at the HEAV tables with Sales or Counseling means that you can be an encouragement to new and veteran homeschoolers alike.

A few more locations that you can serve include as a workshop hostess, setup or tear down and graduation.

Volunteering as a Workshop Host means that you have a guaranteed spot in the workshop, plus you get to meet the speaker before hand to ask if they need anything.
Volunteering for set-up or tear down means that you get to be in the thick of the action AND that you don't have to exercise at all for the rest of the week!
Volunteering at graduation means that you get to help with parents and kids who "made it" - think of all of the collective knowledge in that room.
Volunteering in the Exhibit Hall means that you get to booth sit - which means that you get to hang out at any one of so many cool booths while the vendor takes a quick break.

Planning for 2 – 3 Weeks before convention

Here we are 13 days before convention and as promised (better late than never) some more planning tips.

3 weeks out –

  • Continue to enter books into the UCS site.
  • Planning – this week I want you to
    • Make a list of the items you want to get from the UCS, on this list make notes of the full price or any sale prices that you can get.  By doing this, you will know if you are getting a good deal in the UCS.
    • Want to go pro – make your list up in excel (or some other spreadsheet program) – that way you can enter the list price, the price you are willing to pay and prices you have seen any number of places.  Of course, you are do this on paper, but spreadsheets are fun!
  • Decide on a budget.  Pray about it, talk with your spouse or a good friend, look at your finances and decide what you can afford to spend. Be sure to plan for extra expenses for those things you see that you just can’t leave without!
    • One of the places I always stop by is Virginia Soaps and Scents – Richelle and Roy Spargur are lovely people just to stop and visit with, but while you are there you have to take time to smell their various soaps, and check out all of the awesome and beautiful products they have to offer.

2 weeks out –

  • Make sure all of your reservations are in place — hotel, car, travel, etc.
    • If you haven’t already put these items in your calendar so that you have everything in one place when you start moving.
  • Begin to organize your things. If you have room create a “staging area” where you place the things that will be coming with you. In this area you should start placing the following:
    • Books for the UCS
    • Rolly cart, suitcase with wheels, forklift, etc.
    • Notebook for taking notes
      • Need tips on putting together your convention notebook – ask me in the comments or on Facebook.
  • Finish up your books for the UCS – be sure to watch the UCS site for deadlines – remember the UCS Barcoding site closed on Wednesday, June 4, at 4 p.m so you have to have all of your items entered by that point.

HELP – We need somebody! HELP – We need everybody!

I know that is not how the song goes, but it sounded good in my head.

Take a look at this.  What do you see?

VOLUNTEERS WANTEDI see an explosion or a 16 point star. But is there something missing?  I am so glad that you asked!  Yes, there is something missing – do you want to know what it is?

youIt’s you!  You are missing.  Ok, stick with me here.  Picture it this way – the star is the HEAV convention.  Without you (and all of the other attendees) there really wouldn’t be a point in having a convention would there? But how does such a huge convention run?  Do you think there are a few people behind the scenes that make it all happen?  No – there are hundreds of people behind the scenes!!  For the convention to run you are needed – not just so that the vendors have something to do, but you are needed to fill a very important role.

For most of the volunteer positions there is no prior experience needed and any registered attendee of the convention can volunteer.

One of the best part about volunteering is that you are not just helping HEAV, but you in turn are blessed.  I have volunteered for the last 8 years – every year I have attended convention – in that time I have meet the most amazing people, heard awe inspiring stories and made life long friends.  Volunteering truly is a rewarding experience and on top of all that – you are allowed into the UCS early!  My opinion is that volunteering should definitely be part of your convention plans.
